The problem is not the guide, it is scattered information
In an inbound or guided tour agency, a single service passes through five places: the tour operator's email, the services spreadsheet, the WhatsApp with the guide, the office schedule and, at the end of the month, the invoices folder. Every move from one tool to the next is a copy and paste, and every copy and paste is a mistake waiting to happen.
None of these steps is hard on its own. What breaks the organisation is that nobody has the full picture: the guide does not know the entry time has changed, the office does not know whether the guide has seen the message, and the person closing the month does not know which services are still to be invoiced. The method below brings that information into one place, in the order you need it.
The five-step method
The same five steps apply to every service, whether it comes from a tour operator, your website or an OTA. The key is not to skip any of them and for each one to leave a record.
- Every request, one record. Everything a tour operator asks for is logged in the same place with the same fields: reference, tour operator, date, PAX, language, tour type, meeting point, ticket time and type. If anything is missing, the service is not ready to assign.
- One single schedule. The whole agency's week in one view: who is working, at what time and where each service stands. If there are two schedules, one of them is wrong.
- Assignment with confirmation. Assigning is not sending a message: it is waiting for a yes or a no. Until the guide has accepted, the service is pending, and the whole team needs to see that.
- The conversation, attached to the service. Questions and changes about a service are handled inside that service, not in a group with forty conversations. What is written down can be read again by whoever takes over.
- From completed service to invoice. Once a service is completed, it is ready to invoice with its reference and rate. The guide's invoice should arrive linked to those services, not lost in the inbox.
Applying the method if you work with Excel today
All five steps can be done with a well-built spreadsheet. The key: one row per service, a status column with fixed values and a guide column that is never left empty without someone noticing. To get started, use our tour guide schedule Excel template, free and with no sign-up.
The limit shows up with volume. Excel does not notify the guide, does not collect their reply and does not know that person already has another service that day. Beyond a few guides and several tour operators, that part is done by hand on WhatsApp, and that is where the oversights and the double bookings of guides begin. These are the signs the spreadsheet is no longer enough:
- You spend more time passing information on than organising services.
- You found out about a time change from the guide.
- A group ended up with no guide, or with two.
- Closing the month takes you more than a day of cross-checking spreadsheets and emails.
How Partners does it
Partners brings the five steps together in one tool. Each service is a request with its fields and its status: Draft, Pending, Partially accepted, Accepted, Modified, Declined, Cancelled, Completed and Invoiced (shown in Spanish in the app). The status changes on its own when the guide accepts or declines from their area: no need to ask.
To assign, Partners suggests guides from your team by language, availability and history, and flags who is already busy that day. You can put several guides on the same service, each confirming separately. We go into detail in tour guide assignment.
The schedule fills in with every assignment, with month, week, day and list views, and every change to the time or meeting point reaches the people involved by email. Questions are handled in each request's chat. At the end, the guide picks the services to invoice and uploads their invoice, with VAT shown separately, as we explain in tour guide invoicing. Everything else is in the features.
Where to start this week
You do not have to change everything at once. These four rules bring order even if you keep your usual spreadsheet:
- Use one reference: the tour operator's code should be the same in the spreadsheet, in the message to the guide and on their invoice.
- Fix the statuses: decide what Pending and Accepted mean, and do not invent new ones along the way.
- One channel for changes: if something changes, it is recorded in the service and notified from there.
- A date for invoicing: for example, the first five days of the following month.
To try the method with your real services, Partners is free for up to 5 guides and the first 25 agencies get the founder price of €49 a month (excl. VAT), with a 30-day trial. The app interface is in Spanish.
