What Partners does in a free tour company
First, to avoid any misunderstanding: Partners is not a booking platform. It does not publish your free tours, does not take payments from tourists and does not keep track of tips. You handle that with your website or the platforms you are already listed on.
Partners takes over the part that usually lives in a WhatsApp group: deciding which guide runs each departure, getting their confirmation, giving them the details and, at the end of the month, matching their services with what they are paid. If your company has ten or twenty guides and several departures a day, that coordination is a part-time job.
Each departure, a request with its guide
A regular departure, for example the 11 am old town walk in English, becomes a request with date, meeting time and point, language, duration and tour type. To avoid creating them one by one, you use bulk requests or import your Excel file with the week's or month's programme.
Then you assign the guide. Partners suggests the people on your team who speak that language and are free that day, and flags who already has a departure. The guide gets an email, accepts or declines from their area, and the departure changes status on its own.
Rotations, cover and doubled departures
In free tours, cover is constant: someone gets ill, someone swaps a slot, a departure fills up and needs a second guide. With Partners, it is all in one place. If a guide declines, the departure goes back to uncovered and shows up on the schedule; if you assign two guides to the same departure, you see which one has confirmed thanks to the Partially accepted status.
The month, week, day or list schedule shows each guide's workload, and the analytics per guide tell you how many services each one has run, in which languages and for how many people. Useful for sharing work fairly and spotting who is close to burning out.
What your guide sees
Each guide gets free access to their area from their phone, with nothing to install (they can add it to their home screen like an app). There they find their upcoming departures, their schedule and a chat inside each service for questions. Meeting point instructions or a change of route stay written in the record, not buried in the general group.
If your guides are freelance and invoice you, they pick the services to invoice and upload their invoice, with the VAT set on the rate. You check them and mark them as paid. We explain how it works on the page about tour guide invoicing.
Departures in several languages without manual cross-checking
A free tour company running in English, Spanish, German and Italian effectively has four different programmes with different guides. In Partners, the language is a field on every departure, and the guide suggestion only offers people who speak it. No more of the classic message asking who can do the German one on Saturday.
Languages, tour types and meeting points are set up once in the master lists: building a new week's programme means reusing the same pattern. And any detail to pass on to the guide for that language stays written in each departure's chat.
What it costs for a free tour company
Partners charges a fixed price per agency, not per departure or per booking, so running lots of small departures is not penalised. Up to 5 guides it is free. The first 25 agencies can take the Pro plan, up to 50 guides, at €49 a month (excl. VAT) with the founder price, fixed for as long as they stay, after a 30-day trial.
If you already use a booking platform and wonder whether Partners replaces it, the answer is no: they are two different things. We explain it in detail in Partners vs Bókun.
