Why every agency ends up on WhatsApp
It is instant, it is free and your guides already use it. You send the reference, the time and the meeting point, the guide replies with a thumbs up, and that is it. For a one-off service, it is hard to beat.
The problem appears when WhatsApp stops being a way to let people know and becomes the agency's management system: the place where services are assigned, confirmed, changed and discussed.
What goes wrong when you coordinate guides on WhatsApp
- Messages get lost. A confirmation buried between voice notes, photos and other groups. If nobody writes it down, it does not exist.
- No statuses. A read message is not an accepted service. You cannot see at a glance which services are confirmed and which are not.
- Groups where everything gets mixed up. A group of twenty guides is for general announcements, not for talking about one specific group's 10:30 entry.
- Changes that do not reach everyone. If the time changes, you have to remember to message every guide involved, one by one.
- No useful history. Six months later, finding out who guided a group or what was agreed means digging through chats.
- Data on personal phones. Client names, phone numbers and booking references spread across the whole team's phones.
WhatsApp vs Partners
| Task | With WhatsApp | With Partners |
|---|---|---|
| Assign a service | A message to each guide | You assign it in the request and the guide gets an email |
| Confirmation | A thumbs up in the chat | The guide accepts or declines and the status changes on its own |
| Several guides on one service | Each in their own chat | Individual acceptance; partially accepted until everyone has confirmed |
| Questions about a service | General group or private chat | Messaging inside the request |
| Last-minute changes | Message everyone affected again | You edit the record and the people affected are notified |
| See the week | Not possible | Month, week, day and list schedule |
| History | Scattered across chats | A record for each service with its conversation |
| Guide invoices | PDF by message or email | Invoice linked to its services, pending or paid |
Your clients' data, off personal phones
When the work lives on WhatsApp, group names, tour leaders' phone numbers, ticket booking references and passenger lists end up spread across the personal phones of the office and every guide. If a guide stops working with you, that information leaves with them, and you do not know who holds what.
In Partners, the data for each service sits in the request record and each guide only sees the services assigned to them. Your office works with users and role-based permissions, and data is processed in line with the GDPR, with Elevate Studio S.L. as data controller. When you need your data elsewhere, you export it as CSV.
What messaging per request changes
In Partners, each service is a request with its reference, tour operator, date, PAX, language, meeting point and tickets. The conversation with the guide sits inside that request: if they ask for the entry time, the answer stays next to the service details, visible to whoever in the office takes over.
When you assign a service, the guide gets an email and accepts or declines it from their area, which works in the phone's browser. No need to ask whether they have seen it: the status tells you. If you edit the record, the people affected are notified. See how guide assignment and the agency schedule work.
A group of 60 people split in two, a tour with a guide and an escort, or a full day with one guide in the morning and another in the afternoon. On WhatsApp, that is two or three parallel conversations, and one person's confirmation tells you nothing about the others.
In Partners, you assign several guides to the same request, each with their own rate, and each guide accepts or declines separately. While one is missing, the service shows as partially accepted in the list and the schedule: you know exactly who to call.
Do you have to give up WhatsApp completely?
No. WhatsApp is still useful for a quick call or a problem in the middle of a tour. What changes is where the information lives: the service, its status, its conversation and its invoice are in Partners, and WhatsApp goes back to what it was, a way to let people know.
If your agency also works with spreadsheets, read the Partners vs Excel comparison. And to try it with your real services, request your 30-day trial: it is free up to 5 guides and the founder price is €49 a month excl. VAT.
